1. 事業者情報

株式会社South Gate(South Gate Inc.、以下「当社」)は、当社が提供するナレッジ管理サービス「Structa」(以下「本サービス」)における ユーザーの個人情報の取り扱いについて、以下のとおりプライバシーポリシー(以下「本ポリシー」)を定めます。

2. 収集する情報

本サービスは、以下の情報を収集します。

アカウント情報

Googleアカウントでログインした場合は、Googleが提供するOAuth認証(openid / email / profile スコープ)を通じて、メールアドレス・氏名・プロフィール画像URLを取得します。Microsoftアカウント(当社が利用を認めた組織の Microsoft Entra ID アカウント)でログインした場合は、OpenID Connect(openid / profile / email スコープ)を通じて、メールアドレス・氏名・所属組織の識別子・ユーザーの識別子を取得します。

Google Drive(任意)

お客様が任意でGoogle Driveへのバックアップを設定した場合に限り、本サービスが作成したファイルのみを操作できる権限(drive.file スコープ)を取得します。本サービスは、お客様が指定したフォルダの中にナレッジのコピーを書き出すこと(作成・更新)だけを行い、お客様の他のファイルを読み取ることはできません。設定しない場合、Driveへのアクセスは一切行いません。

外部サービス連携(任意)

お客様または所属組織が Notion・Slack・Discord・Microsoft Teams・チケット管理ツール等との連携を設定した場合に限り、連携先から取り込むページ・メッセージ等の内容と、連携に必要な認証情報を取得します。取り込む範囲は連携の設定で指定された範囲に限られます。

投稿・取り込みコンテンツ

ナレッジとして登録・取り込みされたテキスト・ファイルの内容(AIアシスタント経由で保存された内容を含みます)をデータベースに保存します。

接続キー

AIアシスタント(Claude・ChatGPT 等)や外部ツールと本サービスを接続するために当社が発行する接続キー(APIキー)と、その利用記録を保存します。

決済に関する情報

有料プランの決済は、登録販売者(Merchant of Record)である Paddle が処理します。当社はクレジットカード番号を取得・保存しません。Paddle から、契約・請求の状況に関する情報(Paddle 上の顧客ID・プラン・請求状態等)を受け取ります。

アクセスログ・利用記録

サービスの改善・障害対応・セキュリティ目的で、IPアドレス・操作ログ・機能の利用記録(処理時間等)を記録することがあります。

3. 情報の利用目的

収集した情報は、以下の目的のみに利用します。

  • ユーザー認証およびアカウント管理
  • ナレッジの保存・検索・表示などの本サービス機能の提供
  • AIによる要約・翻訳・分類、検索のための数値表現(埋め込み)の生成など、ナレッジの整理
  • 所属組織内でのナレッジの共有、およびユーザーが指定した範囲での共有・公開
  • 有料プランの契約・請求の管理
  • サービスの品質向上・障害対応・セキュリティ対策
  • ご利用状況の集計・分析(個人を特定しない形式)
  • サービスに関する重要なお知らせの送信

4. Google API・Microsoft の認証について

本サービスは Google OAuth 2.0 を使用してユーザーを認証します。 Google API から取得した情報(メールアドレス・氏名・プロフィール画像)は、 本サービスへのログインおよびユーザー識別にのみ使用し、 マーケティング目的や第三者への提供には一切使用しません。

本サービスによる Google API から取得した情報の使用および転送は、Google API サービスのユーザーデータポリシー(Limited Use 要件を含む)に準拠しています。

Microsoft Entra ID から取得した情報(メールアドレス・氏名・所属組織とユーザーの識別子)は、 本人の確認と、所属組織が本サービスの利用を認められているかの判定にのみ使用します。

5. 第三者への提供

当社は、以下の場合を除き、ユーザーの個人情報を第三者に提供しません。

  • ユーザー本人の同意がある場合
  • 法令に基づく開示が必要な場合
  • 6. に定めるところにより、業務の全部または一部を委託する場合

なお、ユーザーが自ら共有・公開の操作(所属組織のメンバーへの共有、共有リンクの発行、公開の設定等)を行った内容は、 その操作で指定された範囲の利用者に表示されます。

6. 業務の委託

当社は、利用目的の達成に必要な範囲で、個人情報の取り扱いの全部または一部を外部の事業者に委託することがあります。 主な委託業務は、クラウドサーバー・データベースの運用、AIによる処理(要約・翻訳・検索用データの生成)、決済、メール送信です。 委託にあたっては、個人情報を適切に取り扱う事業者を選定し、契約等により必要かつ適切な監督を行います。

委託先には、米国・英国など日本国外に所在する事業者が含まれます。これらの事業者への委託は、個人情報の保護に関する法律に定める体制(契約等による相当措置)を整えたうえで行い、 委託先および措置の内容は、お問い合わせに応じてお知らせします。

AIによる処理には、送信した内容をAIモデルの学習に利用しないことが各社の規約で定められた法人向けAPIを利用しています。 なお、送信内容は不正利用の監視のため、各社で一定期間(原則30日以内)保存されることがあります。

ユーザーが Claude・ChatGPT 等のAIアシスタントを本サービスに接続して利用する場合、AIアシスタントに渡る内容の取り扱いは、 ユーザー(または所属組織)と当該AIアシスタントの提供者との契約に従います。これらの提供者は当社の委託先ではありません。

7. データの保存・管理

ユーザーデータは Supabase(PostgreSQL ベースのクラウドデータベース・東京リージョン)に暗号化して保存されます。 当社は適切な技術的・組織的措置を講じて、不正アクセス・漏洩・紛失からデータを保護します。

8. データの削除・開示請求

ユーザーは、当社が保有する自身の個人情報について、開示・訂正・削除を請求できます。 ご希望の場合は、下記お問い合わせ先までメールにてご連絡ください。 合理的な期間内(原則30日以内)に対応いたします。

9. Cookie の使用

本サービスはログイン処理・セッション管理・表示言語の保持を目的として Cookie を使用します。 有料プランの決済画面では、決済事業者(Paddle)の Cookie が使用される場合があります。 ブラウザの設定により Cookie を無効にすることができますが、一部の機能が正常に動作しない場合があります。

10. ポリシーの変更

本ポリシーは必要に応じて改定することがあります。 重要な変更を行う場合は、サービス上にて事前にお知らせします。 改定後も本サービスをご利用いただいた場合、変更後のポリシーに同意したものとみなします。

1. About Us

South Gate Inc. (株式会社South Gate; the "Company") establishes this Privacy Policy (the "Policy") as follows regarding the handling of users' personal information in Structa (the "Service"), a knowledge management service provided by the Company.

2. Information We Collect

The Service collects the following information:

  • Account information — If you sign in with a Google account, we obtain your email address, name, and profile image URL through OAuth authentication provided by Google (openid / email / profile scopes). If you sign in with a Microsoft account (a Microsoft Entra ID account of an organization the Company has approved), we obtain your email address, name, an identifier of your organization, and your user identifier through OpenID Connect (openid / profile / email scopes).
  • Google Drive (optional) — Only if you choose to set up a backup to Google Drive, we obtain a permission that allows the Service to operate only on files it has created (drive.file scope). The Service only writes copies of your knowledge (create and update) into the folder you specify, and cannot read any of your other files. If you do not set this up, the Service does not access your Drive at all.
  • External service integrations (optional) — Only if you or your organization set up an integration with Notion, Slack, Discord, Microsoft Teams, a ticketing tool, or similar services, we obtain the content imported from that service (such as pages and messages) and the credentials required for the integration. Imports are limited to the scope specified in the integration settings.
  • Posted and imported content — The text and file contents registered or imported as knowledge (including content saved through an AI assistant) are stored in our database.
  • Connection keys — We store the connection keys (API keys) the Company issues to connect the Service with AI assistants (such as Claude and ChatGPT) or external tools, together with records of their use.
  • Payment information — Payments for paid plans are processed by Paddle, our Merchant of Record. The Company does not obtain or store credit card numbers. We receive information about your subscription and billing status from Paddle (such as your Paddle customer ID, plan, and billing status).
  • Access logs and usage records — We may record IP addresses, operation logs, and records of feature use (such as processing times) for the purposes of improving the Service, responding to failures, and security.

3. Purposes of Use

The information we collect is used only for the following purposes:

  • User authentication and account management
  • Providing the functions of the Service, such as storing, searching, and displaying knowledge
  • Organizing knowledge, including AI-based summarization, translation, and classification, and generating numerical representations (embeddings) for search
  • Sharing knowledge within your organization, and sharing or publishing it to the extent you specify
  • Managing subscriptions and billing for paid plans
  • Improving service quality, responding to failures, and security measures
  • Aggregating and analyzing usage (in a form that does not identify individuals)
  • Sending important notices regarding the Service

4. Google APIs and Microsoft Authentication

The Service authenticates users using Google OAuth 2.0. Information obtained from Google APIs (email address, name, and profile image) is used only for signing in to the Service and identifying users, and is never used for marketing purposes or provided to third parties.

The Service's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Information obtained from Microsoft Entra ID (email address, name, and the identifiers of your organization and of you) is used only to verify your identity and to determine whether your organization is permitted to use the Service.

5. Provision to Third Parties

The Company will not provide users' personal information to third parties except in the following cases:

  • With the user's consent
  • When disclosure is required by law
  • When all or part of our operations is outsourced as set out in Section 6

Content that you yourself share or publish (for example, by sharing it with members of your organization, issuing a share link, or setting it to public) is shown to the users within the scope specified by that action.

6. Outsourcing

The Company may outsource all or part of the handling of personal information to external providers to the extent necessary to achieve the purposes of use. The main outsourced operations are the operation of cloud servers and databases, AI-based processing (summarization, translation, and generation of data for search), payment processing, and sending emails. When outsourcing, the Company selects providers that handle personal information appropriately and exercises necessary and appropriate supervision through contracts and other means.

Our providers include providers located outside Japan, such as in the United States and the United Kingdom. Outsourcing to these providers is carried out after establishing the system required under Japan's Act on the Protection of Personal Information (equivalent measures through contracts and other means). We will inform you of the providers and the details of these measures upon request.

For AI-based processing, we use business APIs whose terms provide that the content sent is not used to train AI models. Content sent may be retained by each provider for a limited period (in principle, up to 30 days) for abuse monitoring.

If you connect an AI assistant such as Claude or ChatGPT to the Service, the handling of content passed to that AI assistant is governed by the agreement between you (or your organization) and the provider of that AI assistant. Those providers are not processors of the Company.

7. Data Storage and Management

User data is stored encrypted in Supabase (a PostgreSQL-based cloud database, Tokyo region). The Company takes appropriate technical and organizational measures to protect data from unauthorized access, leakage, and loss.

8. Requests for Deletion and Disclosure

Users may request disclosure, correction, or deletion of their personal information held by the Company. To make a request, please contact us by email at the address below. We will respond within a reasonable period (in principle, within 30 days).

9. Use of Cookies

The Service uses cookies for sign-in processing, session management, and retaining language settings. On the payment screens for paid plans, cookies of our payment provider (Paddle) may be used. You can disable cookies in your browser settings, but some functions may not work properly.

10. Changes to This Policy

This Policy may be revised as necessary. When we make important changes, we will notify you in advance through the Service. If you continue to use the Service after the revision, you shall be deemed to have agreed to the revised Policy.
